Skyline Urology is looking for a Support Specialist for our Corporate office in Torrance.

POSITION SUMMARY:
The Support Specialist will provide organizational support to the various programs within Skyline Urology’s corporate office. This individual will be handling office administration, have some HR and IT responsibilities and train staff on processes and use of systems.

ESSENTIAL FUNCTIONS:
• Ensure that phone calls are answered promptly and rerouted as appropriate.
• Assist Human Resources with personnel files, new hire onboarding and documentation
• Posting jobs ads and scheduling interviews
• Provide assistance and administrative support to corporate departments, as requested
• Maintain both office/kitchen supplies (And order as necessary)
• Monitor inventory of office and printer supplies and proactively process orders
• Manage the order of Business cards, coats and name tags
• Manage and maintain all building and keys and cards
• Manage inter-office mail pick up/delivery; shipment orders for drop-offs/pick-ups
• Send out monthly birthday cards
• Oversee general office cleanliness and organization
• Plan logistics for corporate meetings, sessions, and social functions etc. including room/venue reservations and food ordering
• Open sort and route incoming mail, answer correspondence and prepare outgoing mail
• Assisting with phone set up, extension, message and name recording
• Run the Care Committee
• Run errands as needed
• Handle 401(k) administration
• Training employees on systems
• Technical onboarding and off-boarding
o Email activation
o De-activation
o Phone system maintenance
o Licensing tracking
• Provide support for Office, desktop computer issues and printers, as well as other similar technical support issues
• Other duties as assigned by supervisor

COMPENTENCIES AND SKILLS:
• Highly organized and self-motivated
• Ability to work independently on assigned projects
• Ability to prioritize tasks based on importance and deadlines
• Solid Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
• Ability to be discrete and maintain employee confidentiality
• Exhibits excellent verbal and written communication via e-mail, telephone, and in-person
• Punctual, enthusiastic, motivated self-starter who takes initiative and is willing to learn
• Exhibits professionalism and composure in stressful situations and in meeting short deadlines
• Good attendance
• Strong computer skills

EXPERIENCE AND/OR EDUCATION:
• Previous office administration experience required
• Bachelor’s degree
• Two or more years of experience working in a fast-paced environment
