Job Summary

WRiTE BRAiN BOOKS is seeking a rock star Executive Assistant with a positive attitude and impeccable organizational skills! Please be Mac-savvy and comfortable/familiar with a variety of computer programs and applications, including CRMs, document management software and calendar management. (We use Insightly, Panda Docs and Google Suite.)

WRiTE BRAiN BOOKS is an education start-up that developed the first-ever standards-aligned narrative and creative writing course in the academic art of children’s book authoring. The core products are richly illustrated, wordless children’s books with lines on the pages for any author’s original story. Our books enable students of all ages (K-12) to write their own stories, publish beautiful hardcover copies, and build a personal library of self-authored books. Our small and energetic team is committed to promoting the company’s mission of building literacy and fostering creativity and self-esteem in students of all ages. We all wear multiple hats throughout the day and are driven by a belief in the power and necessity of what we do.

Responsibilities and Duties

Partner Support

  • Generate quotes and invoices for potential partners
  • Correspond with potential partners over the phone re: our curriculum and pricing
  • Walk partners through the use of the website, providing solutions/answers to any queries
  • Pass on any web issues to the web development team and implement deadlines to ensure fixes in a timely fashion
  • Outreach to new programs to walk them through use of our online website and provide them with their publishing codes/how to use them correctly
  • Maintain relationships (main point of contact) with potential/current vendors, potential/past illustrators, and every one of the 300+ schools/after-school programs using our curriculum/after-school program

Administrative Management

  • Oversee support services
  • Supervise clerical and administrative personnel
  • Set goals and deadlines for support staff
  • Develop, manage, and monitor company records
  • Continue to recommend changes to policies or procedures in order to improve operations

Additional Support to C.E.O.

  • Help maintain busy C.E.O.’s schedule
  • Read majority of emails C.E.O. sends and receives
  • Assist in management of C.E.O.’s administrative and organizational needs, includes:
  • Setting calls and meetings
  • Updating calendar
  • Maintaining list of project and task priorities
  • Assist with partner outreach
  • Craft summaries and briefs for meetings relating to potential partnerships

Travel Logistics

  • Source & book reasonably priced flights and hotel accommodations for all company travel according to employee preferences and company budget
  • Reserve car services/rentals when necessary
  • Create and update itineraries for all traveling employees
  • Make sure travel essentials are packed (itineraries, receipts for electrical or WiFi services for our booth, bill of lading forms for the pickup of our pallet at closing of show, etc.)

Project Management

  • Maintain current database spreadsheets (i.e. P.O’s, Invoices, Conferences, Flight Comparisons, etc.)
  • Oversee the pulling, packing and shipping of materials to bring to conferences

Occasional Team Support Duties

  • Help to pack for conferences and trainings
  • Short errands to printer, Fedex, etc. (must have car!)
