Job Description:/h3:
We are currently looking for an Administrative Assistant in the Newport Beach area. This position will support the CEO and will be responsible for handling a wide range of administrative, executive, and personal support:related tasks.
Qualified candidates will have the following background and experience :
Must be adept in handling a wide range of administrative, business and executive support related tasks for a CEO. Must have the ability to interact with staff in a fast:paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality are crucial to this role. Expert level oral and written communication skills, strong decision:making ability and attention to detail are equally important.
Job Requirements and Duties include but are not limited to:
:Completes a broad variety of administrative tasks for the CEO including, managing an active calendar of appointments; completing expense reports (concur); composing and preparing confidential correspondence; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel:related meetings.
:Develop detailed presentations and other required materials for the CEO or as otherwise designated including written materials/talking points, as well as computer presentations
:Communicates directly, and on behalf of the CEO, with clients on matters
:Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities
:Prioritize conflicting needs; handle matters expeditiously, proactively and follow:through on projects to successful completion, often with deadline pressures.
:Provide support to the CEO as a communications liaison by assisting with managing e:mail and/or phone calls;
:Additional tasks would include support for Sales and Marketing including, developing marketing materials, presentation development

:Ability to execute with attention to details
:Expert level MS Office, specifically Excel and Powerpoint
:Proficient with using the Internet as a research tool
:Excellent writing skills with a high level of proficiency
:Excellent organizational skills with a high level of proficiency
:Understanding of organizational functioning
:Ability to travel
:Ability to organize information and events
:Ability to prioritize projects
:Ability to organize and present information
:Ability to set and meet deadlines
:Ability to work within a team structure
